What is the Planning Committee?

The Planning Committee plays a critical role in shaping the future of our community. Our mission is to guide the development and growth of the area, ensuring that projects align with community goals.

 

 The Community Committee is to organize, plan, and execute events that foster community engagement, promote local culture, and support community-building initiatives. Committee members collaborate with local organizations, volunteers, and residents to create meaningful experiences for all.

Purpose & Responsibilities

The Planning Committee is tasked with:

  • Event Conceptualization and Planning

  • Brainstorm and propose event ideas that meet the needs and interests of the community.

  • Plan event logistics, including venue, date, time, and resources.

  • Set clear objectives for each event (e.g., raising awareness, fundraising, celebration).

Coordination and Execution

  • Coordinate with vendors, performers, and volunteers.

  • Manage the event timeline, ensuring all tasks are completed on schedule.

  • Ensure all event supplies, and  equipment are secured.

Community Outreach and Engagement

  • Promote events through social media, local newsletters, and flyers.

  • Engage with community members for input, feedback, and support for events.

  • Actively involve volunteers in the planning and execution of events.

​Post-Event Evaluation and Reporting

​

  • Collect feedback from attendees and participants to assess event success.

  • Report outcomes to local organizations or stakeholders, including attendee numbers, financials, and key takeaways.

  • Suggest improvements for future events based on evaluation.

​By fulfilling these roles, committee members contribute to creating enjoyable and well-organized events that strengthen community bonds.

Meetings & Schedules

The Planning Committee will meet on a monthly, bi-weekly, or weekly basis, depending on the needs and timelines of ongoing and upcoming projects. Meetings are typically not open to the public, unless the committee determines that public input is required for a specific agenda item or initiative. Community members may participate in committee meetings by invitation, or they may submit a formal request via email or through an interview process, as applicable.

Each Planning Committee is composed of voted in  diverse group of local experts, community leaders, and residents, all of whom bring valuable perspectives to the decision-making process.

Following each committee meeting, the Chairperson, Vice Chair, or Secretary is responsible for submitting meeting notes, along with any newly scheduled meeting dates, to the organization for final review and approval by the Board of Directors.
